Start with one line that states the current change in plain language. Then explain the immediate impact in terms of timing, risk, or dependency. Close with an explicit next owner and a clear expected outcome.

This structure is short enough for daily use and strong enough for cross-team collaboration. Over time, teams that use consistent wording spend less energy translating updates and more energy moving work forward.

Building the habit

Pick one recurring workflow and apply the structure there first. During weekly review, take one real update and rewrite it for clarity. Small edits compound quickly: direct ownership, concrete time references, and fewer abstract words.
